To: Statecom, Convention Com, Adcom:
I am trying to calculate what the approximate
break-even point will be for the GRP state convention.
If anyone out there has additional information that
could make this calculation more accurate, please
share it.
This is my calculation so far:
Convention Costs:
2-Day Space Rental $3200 (Devens Conference Center)
Insurance $500 (Required)
Copying, Band?, Misc. $500 (Estimated copying cost
$350, Band $100, Other $50 (continental breakfasts?)
The lunch and dinner food I am excluding because the
food is basically paid for by the people who ordered
it. Nobody asked for childcare by the deadline, so
there MAY be no costs associated with childcare.
Total $4200
For two days the sliding scale is $25 to $75 so
assuming the average payment amount is $50, that would
mean we need $4200/50 = 84 registrants at the average
amount of $50 each (again, excluding the food because
that is a one for one order).
I believe that 22 people have registered.
Going by my approximations above, that means we still
need to get 62 more people to register at an average
of $50 each in order to break even.
Here is are some calculations on how much money we
could loose on the convention, if participation is
below the break-even point:
If only 20 more peple register, the GRP will loose
$4200-((22+20)$50))=$2100 on the convention.
If only 30 more people register, the GRP will loose
$4200-((22+30)$50))=$1600
If only 40 more people register, the GRP will loose
$4200-((22+40)$50))=$1100
If only 50 more people register, the GRP will loose
$4200-((22+50)$50))=$600
