State Committee Convention Planning Committee Meeting - April 6, 2004
at Campus Greens Office in North Hampton, MA

Present:  Samantha, Rich, Mark, Wanda, Jonathan

started at 6:47pm

Pre-registration report:
-----------------------
current number is 22, including 14 Green HOusrs volunteers
caterer okay with small numbers (17)
no one requested child care
ask caterer to use paer plates instead of styrofoam and recyclable containers
people have signed up for continental breakfast, so we need a volunteer
  Mark stepped foward to get breakfast items for 8 on Sat/10 on Sun., 
    Samantha will bring sugar, Wanda will bring coffee maker, tea bags
what to do about small numbers?



Welcome:

Wanda tried without any success, approached many people and no one willing
she will do it herself
needs to include:  overview of schedule, explain antenae people, etc


Co-chairs for convention:
------------------------
we need to select overall co-chairs for convention
Ebony and Grace have turned it down
what exactly is the role/expectations?
Wanda and Mark agreed to be co-chairs, Samantha and Rich would run 
  ballots/election


Facilitation:
------------
Plenary I:  Aimee Smith and Aram  - to include welcome, State of the State
              by Grace and State of the Locals by Ebony, candidate time, 
              call for floor nominations, allow each candidate up to 5 minutes
Plenary II:  Merelice and Gary Hicks - Proposals and ballot explaination/cast
Plenary III:  Dan and ?  - by-law review and proposals, if extra time allow
                current candidates running for office to talk about their
campaign

Wanda to follow up with each person to make sure changes are ok


Child Care:   NO CHILD CARE REQUESTS

Mark contacted Gretchen Klotz and still waiting to hear from Raging Grannies
Wararusa turned down due to money
Wanda working on Lominaria Hilario, a drummer from Domincan Republic, and 
  Tom Neilson, a folk political singer


Credentialing:

Mark will lead the team
Nashua River Green Rainbow to help
John Helfrik to handle all preregigestired
*training will be Friday April 30, at Devens, at 7:30pm
need to have blank forms available at door with pens

Candidate Statements:  need them, send an email to Dan and Jim
Ballots:  Rich will make up layout and get to ComCom

need folder for the packet, should be only real supplies needed

AdCom:

Call from AdCom to try and discuss low numbers and what to do.  
Couldn't come to consensus between committees.  Communication difficult
with bad reception.


meeting ended at 10:12pm, will stay in touch via email and phone for last
minute things
