MINUTES OF THE CONVENTION PLANNING COMMITTEE -- 3/4/2004
LOCAION: Walter Salvo House in Northampton
STARTED: 7:00 PM
ENDED: 9:10 PM
ATTENDING: Jon Levi, Mark Laserte, Samantha Zitola (facilitating), Rich
Zitola, Wanda Boeke, and Jim Bosman
NEXT MEETING: Tuesday, April 6th, at 6:30 PM. (Jon will try to get meeting
space in Northampton. If space is not available in Northampton, Mark will get
meeting space in Worcester.)
STATUS OF ACTION ITEMS

Wanda's Action Items:
- Emily Lewis won't be doing the Welcome & Introductory Speech.
- Bert Albert won't facilitate Plenary Session I, and Sharon Neitsche has not
yet gotten back to Wanda. (Wanda will let the co-chairs know that she is
looking for Plenary Facilitators.)
- Wanda has not yet heard from David Rolde & Sara Willig on their willingness
to facilitate Plenary Session II.
- Aram & Aimee have agreed to facilitate Plenary Session III. (Gary &
Mereliece have agreed to be a backup team for Aram & Aimee.)
- Ron Francis has accepted the role of Caucus Coordinator.
- Aimee knows of several people who would be interested in doing workshops.
- Wanda will contact Vince O'Connor about doing a workshop on running for
state office. She will contact Rudy Perkins about doing a workshop on
Presidential Politics.
Mark's Action Items:
- Mark has not heard back from Tony on whether Bobodenk has committed to
playing at the convention. (Mark will re-contact Tony about this.)
- Mark will re-contact the Raging Grannies about being the Opening Act. At
Monday's Adcom, he will ask if anyone has any other ideas for entertainment.
- Mark will contact David Rolde about the accomodations concerns that Gary
raised at the last Adcom meeting.
- We still have to get insurance for the Convention. Mark will ask Adcom if
we can get a blanket policy to cover all party events as well as this one.
- Ebony & Grace have were invited to do a 15-minute "State of the Party"
presentation in Plenary Session I. It was suggested that Ebony might cover the
topic of Locals and Grace might cover issues. At Monday's Adcom, Mark will ask
Ebony and Grace if they are onboard for this.
MISCELLANEOUS

- Gil has volunteered to be the Parliamentarian for the convention.
- Mark will be in contact with Dan Melnechuk about bylaw changes. (Dan will
do the bylaw review.)
CONVENTION PACKET -- Jim Bosman will find a volunteer to coordinate this.
(Sharron Tetreault might be a good person for this.) CONTENTS:

Workshop Descriptions
- Ballots will be handed to people as they go into the Plenaries.
NAMETAGS - Could Dan Melnechuk do this. We need clarifications on the
various levels of voting status for Convention attendees. Rich will research this
matter.
CREDENTIALING - We will have the credentialing training on the evening of
Friday, April 30th (the night before the convention).
- Credentialing Volunteers: Mark Laserte, Rich Zitola, Samantha Zitola, Jon
Levi, Tony Lorenzen, John Helfrick, Gary Comeau, Dick Vaillette (maybe),
Cheryl Vaillette (maybe), Sharon Neitsche (maybe), Ed McKeon (maybe), Mary Bailey
(maybe)
- Mark will get committments from volunteer and backup credentialers. We
need at least 10 volunteers for credentialing.
- Materials needed for credentialing: Nametags and Voter Registration Records
CAUCUSES -- Ron needs to have facilitators for caucuses and he needs to make
sure that they have agendas and rooms to meet in.
TABLING -- Rich will talk to Pat Keaney about coordinating tabling.
WORKSHOPS -- We need volunteers to facilitate the following workshops:
- Party Building
- How to Build a Local
- Running for Local Office (Vince O'Connor?)
- Alliances & Interparty strategies
